Connecting and using Calendly, Google Calendar

TalentAxis can automatically pull your available slots from Google Calendar or Calendly to schedule interviews - no more back-and-forth emails just to confirm a time.

1. Why connect your calendar?

By default, when scheduling an interview for a candidate, you can manually enter the date and time (Time). This works, but you have to check yourself if you're free at that time. When your recruiting team grows larger, this approach becomes impractical.

Connecting your calendar solves this:

  • Google Calendar – TalentAxis checks your calendar and only suggests available time slots.
  • Calendly – TalentAxis uses the event types you've already set up in Calendly, automatically respecting your breaks, working hours, and how interview slots are divided among team members.

Both integrations create real calendar events after the interview is scheduled, and send meeting invites to candidates with meeting links (if it's an online interview).

2. Preparation

Prerequisites:

  • You have the Owner, Admin, HR Manager, or Recruiter role (Interviewers cannot schedule).
  • You have a Google account (for Google Calendar) or Calendly account (free plan works).
  • Popups are not blocked in your browser.

Note: Each person connects their own account.

Admins cannot connect on behalf of recruiters. When an interviewer is invited to join, the system uses that person's own calendar to check availability.

3. Connecting Google Calendar

Path: Avatar › My Account ›  Integrations

  1. On the Google Calendar card, click Connect.
  2. A Google popup opens. Log in with the account you want to use.
  3. Accept the requested permissions — TalentAxis needs read access to check availability and write access to create interview events.
  4. The popup closes and you return to the Integrations page. The Google Calendar card shows Connected with the connected email.

Note: Accept all permissions.
If you uncheck "create calendar events," TalentAxis won't be able to create events and scheduling will fail with a "Permission denied" error. Re-run the flow and accept all permissions.

4. Connecting Calendly

Path: Avatar › My Account › Integrations.

  1. On the Calendly card, click Connect.
  2. A Calendly popup opens. Log in with your Calendly account.
  3. Accept the OAuth request.
  4. The card shows Connected along with your Calendly organization name.

Note: Calendly account must belong to an organization.
If you signed up using personal Calendly without joining any organization, the connection will fail. Create or join a Calendly organization first, then reconnect. All interviewers in an interview must be in the same Calendly organization.

5. Using when scheduling interviews

After connecting, you'll see new options appear in the Interview Details drawer when scheduling an interview for a candidate.

In the Calendar Platform section, you have 3 choices:

Shows your available slots. Select one; a real calendar event is created with an auto-generated Google Meet link.

Calendly

Select a Calendly event type. Candidate receives a Calendly link to self-select from your availability.

6. Disconnecting and reconnecting

Sometimes you need to disconnect and reconnect - most common when you change your Google password, or see "Cannot access Google Calendar" error even though the card shows Connected.

  1. Go to My Account › Integrations.
  2. On the card you want to reset, click Disconnect. Confirm.
  3. The card changes to "Not connected." Click Connect again and go through the OAuth flow once more.

7. Troubleshooting

OAuth popup blocked

Allow popups for TalentAxis domain in browser settings, then retry.

"Permission denied" error from Google

You unchecked a permission. Retry and accept all requested permissions.

Calendly account not in any organization

Create or join a Calendly organization, then reconnect.

Card shows "Connected" but cannot schedule

OAuth token may have expired on Google/Calendly side. Click Disconnect then Reconnect.

Subsequent interviewers not in same Calendly organization

Calendly requires all participants to be in the same organization. Remove those not in your organization, or add them to your Calendly organization.

Calendar event not created despite "success" toast

Check if integration still shows Connected. If yes, reschedule the interview. If still failing, disconnect and reconnect.

8. Practical tips

  • Google Calendar is the simplest choice for most recruiting teams - free, no event type setup needed, auto-generates Google Meet links.
  • Use Calendly when you want candidates to self-select times instead of you choosing for them - great for interviews with busy hiring managers.
  • If multiple interviewers, verify everyone has connected their integration. If someone hasn't, use manual Time and coordinate separately with them.
  • Don't revoke TalentAxis permissions from Google side (Google Account › Security › Third-party access) - if you do, you must disconnect and reconnect in TalentAxis to sync the token.
